VitaMind Counseling PLLC ("VitaMind," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect through our website at vitamindcounseling.com (the "Site"), how we use and share that information, and the choices and rights you have.
Please read this policy carefully. By using the Site, you agree to the practices described here.
1. Scope of This Policy
This Privacy Policy applies only to information collected through our website and related online services (such as our contact and scheduling forms, email newsletter, online courses page, and blog).
It does not cover Protected Health Information ("PHI") collected during clinical care, including therapy sessions, the SimplePractice client portal, intake paperwork, billing, or insurance communications. Your PHI is governed by the Health Insurance Portability and Accountability Act (HIPAA) and our separate Notice of Privacy Practices, which you receive when you become a client.
If you are an active or prospective therapy client and you have questions about your clinical records, please refer to our Notice of Privacy Practices or contact us directly.
2. Information We Collect
We collect information in three ways: information you give us directly, information collected automatically, and information from third parties.
2a. Information You Provide
You may choose to give us personal information when you:
- Fill out our contact, consultation, or scheduling forms
- Subscribe to our email list, blog, or download a free guide or lead magnet
- Purchase or enroll in an online course or program
- Apply for a job posted on our Jobs page
- Email or call us directly
- Comment on or interact with our blog or social media pages
The information collected may include your name, email address, phone number, mailing address, the reason you are reaching out, payment information (processed by third-party providers -see Section 5), and any other details you choose to share in a message.
Please do not include sensitive health information in website forms or email. Standard email is not a secure channel for PHI. For clinical communication, please use the SimplePractice client portal.
2b. Information Collected Automatically
When you visit the Site, certain information is collected automatically through cookies, pixels, server logs, and similar technologies. This may include:
- IP address and approximate geographic location
- Device type, browser type, and operating system
- Pages viewed, time spent on pages, and links clicked
- Referring website (the page that brought you to our Site)
- Date and time of access
This information is used to operate the Site, analyze traffic, improve user experience, and measure the effectiveness of our content and marketing.
2c. Information From Third Parties
We may receive information about you from third-party services we use, such as analytics providers, advertising platforms (e.g., Meta/Facebook), and our course or scheduling platforms. This is generally aggregated or pseudonymized data about how visitors interact with our content.
3. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and schedule consultations
- Provide, deliver, and support online courses and programs you purchase
- Send you newsletters, blog updates, course updates, and marketing emails (when you have opted in)

- Run and measure advertising campaigns on platforms such as Meta (Facebook/Instagram)
- Process job applications
- Comply with legal obligations and protect our legal rights
We will not sell your personal information.

We currently do not respond to "Do Not Track" browser signals, but we will honor opt-out preferences from Global Privacy Control (GPC) where required by law.
5. Third-Party Services We Use
We rely on trusted third-party providers to operate the Site and our business. These providers may receive personal information solely to perform services for us. Key providers include:
- GoDaddy -website hosting and Site builder
- Kajabi -online course hosting, checkout, and email marketing for our courses
- SimplePractice / clientsecure.me -appointment scheduling and (separately) electronic health records for clinical clients
- Google -analytics and search-related services
- Meta Platforms (Facebook, Instagram) -advertising and pixel tracking; social pages
- Pinterest and TikTok -social media presence
- Email and marketing platforms used to send newsletters and lead-magnet content
- Payment processors (such as Stripe or those built into Kajabi or SimplePractice)-to process course purchases and payments. We do not store your full credit card number on our servers.
Each provider has its own privacy practices, and we encourage you to review their policies. We share only the information necessary for them to perform their service.
We may also disclose information when required by law, in response to valid legal process, or to protect the rights, safety, and property of VitaMind, our clients, or others.
6. Email Communications and Your Choices
If you sign up for our newsletter, download a free resource, or purchase a course, we may email you with related content, updates, and occasional promotional messages.
You can unsubscribe at any time using the link at the bottom of any marketing email. Even if you unsubscribe, we may still send you transactional or service-related messages (for example, about a course you purchased or a consultation you booked).
7. Children's Privacy
Our Site is intended for adults -typically parents, caregivers, and individuals seeking mental health support. We do not knowingly collect personal information from children under 13 in compliance with the Children's Online Privacy Protection Act (COPPA).
Some of our courses and resources are designed *for parents about their children*. In those cases, the account holder and contact is the adult, not the child. If you believe we have inadvertently collected personal information from a child under 13, please contact us so we can delete it.
8. Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information collected through the Site. However, no online transmission or storage method is 100% secure. We cannot guarantee absolute security, and you share information with us at your own risk.
For any communication involving health, treatment, or other sensitive information, please use the SimplePractice client portal rather than the Site forms or standard email.
9. Data Retention
We retain personal information for as long as needed to fulfill the purposes described in this policy, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete it or de-identify it.
Note that clinical records are retained according to North Carolina law, professional licensure board requirements, and our Notice of Privacy Practices -not this policy.
10. Your Privacy Rights
Depending on where you live, you may have rights regarding your personal information, including:
- The right to know what personal information we have collected about you
- The right to access or receive a copy of that information
- The right to correct inaccurate information
- The right to delete personal information, subject to certain exceptions
- The right to opt out of targeted advertising or the sale/sharing of personal information
- The right to withdraw consent for processing where consent is the legal basis
To exercise any of these rights, contact us using the information in Section 13. We will verify your request and respond within the time frames required by applicable law. You will not be discriminated against for exercising your rights.
Residents of California, Virginia, Colorado, Connecticut, Florida, and other states with comprehensive privacy laws may have additional or specific rights under those laws. We honor verifiable requests submitted in accordance with applicable state law.
11. Users Outside the United States
VitaMind operates in the United States. If you access the Site from outside the U.S., your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Site, you consent to this transfer.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. Material changes will be communicated through a notice on the Site or by email where appropriate. We encourage you to review this policy periodically.
